Secretary to the Finance Department

Core responsibilities will include:

  • Compile various documents such as correspondence, manuscripts, reports, grant proposals, statistical tables, administrative forms and lists. Format according to specifications using standard computer applications, Proofread for grammar and spelling. Composes routine correspondence.
  • Ensure that all accounting documents confirm with the Hotel standards with regard to required authorisations, accuracy of calculations, completeness of supporting documentation.
  • Prepare and record accounting transactions and ensure that allocation to accounts is accurate.
  • Generate reports to account statements and review for accuracy. As instructed, prepare reports on certain budget accounts. As instructed, prepare reports on certain budget accounts. Perform various analysis and reconciliations of accounts as required.
  • Receive, screen, direct and make telephone calls, take the pass on messages. Arrange meetings and contact participants regarding time, place and general purpose of the meetings. When requested, schedule and arrange appointments and make travel arrangements.
  • Perform data entry to update management information system. Produce lists and reports using appropriate software.
  • Communicate with suppliers, clients or any other person in order to give or obtain information related to the Finance Department.
  • Organise filing system in an appropriate manner.

The ideal candidate should:

  • Be between 30-40 years of age
  • Part qualification from a recognised professional accountancy body is preferred
  • Display a positive attitude and commitment
  • Possess excellent communication and interpersonal skills in English language
  • Be a good team player
  • Be assertive and confident
  • Be able to handle correspondence independently and with the minimum supervision
  • Display a high sense of responsibility and be able to maintain confidentiality at all times
  • Be computer literate
  • Have a methodical approach to work
  • Possess a minimum of 5 years of experience in a similar, responsible position preferably in the Hospitality industry
