Administrative Executive

Key Responsibilities:

  • Maintain the Director's daily calendar by setting up meetings, remind on the day's agenda, liaise with other departments for the meeting set up and compiling the necessary documents.
  • Participate in meetings as requested, take minutes of the meeting as necessary and circulate to the relevant parties.
  • Ensure all facilities necessary for the meeting is organized.
  • Respond to e mail calls, letters and other forms of communication to the Director and correspond with internal and external parties on request
  • Draft letters as relevant to internal and external parties.
  • Organize team related functions as per request in order to facilitate team bonding and motivation.
  • Organize meetings and meeting logistics including meals and supporting local/overseas participants.
  • Prepare adhoc reports and presentation sides as per request in order to facilitate business activities.
  • Organize all travel requirements {local and overseas) from flights, hotels, airport pick up to foreign currency and travel itinerary etc.
  • Responsible for managing the team on resource allocation, performance management, training, staff motivation and other functions as per company requirements.
  • Preparation of monthly marketing & sales pipeline reports for the foreign principals.
  • Supervise all administrative works, including office maintenance and inventory management.
  • Coordinate with suppliers for procurement and office constructions/alterations.
  • Familiarity with data analysis tools, business intelligence tools, and other relevant technologies.
  • Understanding financial statements and their implications on business decisions.
  • Ability to analyse large datasets, identify trends, and extract meaningful insights.
  • Strong problem-solving skills to address complex business challenges.

Skills and Experience Required:

  • Relevant qualification in Secretarial Work.
  • Minimum of 3 years of experience in a senior execute secretary role.
  • Proficiency in MS Office applications.
  • Excellent written and spoken English and Sinhala.
  • Strong attention to detail and organizational skills.
  • Proven ability to maintain confidentiality.
